Keep your number, keep the app: how an AI assistant joins your WhatsApp Business

The first question most business owners ask about an AI assistant on WhatsApp is not about AI at all. It is whether they have to give up the number their customers already know, and the WhatsApp Business app they answer from every day. For a long time the honest answer was yes. That has changed.
The short answer
You can keep your number and keep using the WhatsApp Business app on your phone. Meta’s coexistence option connects the same number to the WhatsApp Business Platform, so an assistant can answer through the platform while you and your staff still read and reply in the app. Both see the same conversations. A few app features switch off, and it is worth knowing which before you connect.
What used to happen
Until coexistence, connecting a number to the WhatsApp Business Platform meant it left the phone app. The number worked only through software, the app stopped working on it, and the chat history on the phone did not come along. Most small businesses sensibly refused. Their number was printed on the shop sign, the delivery bags and years of customer chats, and giving that up for automation was too high a price.
The usual workaround was a second number for the assistant. It works, but customers message the number they already have, so the assistant sat unused while the old number kept ringing.
What coexistence changes
Meta’s documentation on onboarding WhatsApp Business app users describes the arrangement: the business keeps sending one-to-one messages from the WhatsApp Business app, while software sends through the platform on the same number, and messaging history is kept in sync between the two.
In practice that means the assistant answers the routine questions, and every one of those conversations still appears in the app on your phone. When a customer needs a person, you open the chat you already have and reply. Nothing moves to a separate inbox you have to learn.
When the number is connected, recent chat history can be brought across: Meta allows messages from the previous 180 days to be synchronised, so the assistant is not starting from a blank page with customers who have written before. Group chats are not included.
What switches off
Coexistence is not free of trade-offs. According to the same documentation, once a number is connected:
| Feature in the app | After connecting |
|---|---|
| One-to-one chats | Work as before, in sync with the assistant |
| Broadcast lists | Disabled |
| Disappearing messages | Turned off for one-to-one chats |
| View once messages | Disabled for one-to-one chats |
| Group chats | Still in the app, but not synchronised with the platform |
For most businesses the one that matters is broadcast lists. If you send offers to customers through a broadcast list today, that stops. Promotional messages then go through the platform as approved templates, which Meta charges for per message, and only to customers who have agreed to receive them. Check this before connecting, not after.
Who answers what
With two parties replying on one number, the rules need to be clear, or the customer gets two answers or none.
The simplest arrangement is that the assistant answers first, within its list of approved answers, and hands over when a question falls outside it, when the customer asks for a person, or when the customer is unhappy. We described how to build that list and the hand-over rule in the first 30 answers. Once a person replies in a chat, the assistant should stay quiet in that conversation until the person is done.
Decide as well what happens outside working hours. Many businesses in Kuwait get their busiest WhatsApp traffic in the evening. The assistant can answer the routine questions at night and tell anyone who needs a person when the team is back, which is better than silence until the next morning.
What a day looks like
Take an illustrative case: a bakery in Hawalli taking custom cake orders on WhatsApp. Before the assistant, the owner answered the same questions all evening from her phone: prices by size, how many days’ notice, whether they deliver to Jahra, whether a cake can be sugar-free.
With the assistant connected, those questions are answered as they arrive, in Arabic, English or Hindi, from the price list she approved. When a customer wants to order, the assistant collects the size, flavour, date and area, and hands the conversation over. She opens the chat in the same app she always used, sees everything the customer said, confirms the order and takes the payment. Her evening goes to the orders, not to repeating the price list.
Nothing in that day required a new number, a new app or a new inbox. That is the practical difference coexistence makes for a small business.
Mistakes to avoid when switching on
The most common mistake is connecting first and writing the answers later. For the first few days the assistant then hands almost everything over, which looks like failure and is really an empty brief.
The second is forgetting the team. If three people answer the business number, all three need to know that the assistant is now answering first, when it hands over, and that a chat it has handed over is theirs until it is resolved. Otherwise two people reply to the same customer, or nobody does because each assumes the assistant has it.
The third is switching it on the day before a busy period. Connect it on an ordinary week, watch the hand-overs for a few days, adjust the answers, and only then rely on it for Ramadan or a campaign.
What it costs on Meta’s side
The messages the assistant sends in reply to a customer are free when they go out within 24 hours of that customer’s last message, under Meta’s WhatsApp pricing. That covers almost everything a customer-service assistant does. Charges apply to messages the business starts, such as reminders and promotions sent as templates.
Those charges are billed by Meta to the business’s own payment method on its Meta account. Keep it that way whoever sets the assistant up. Your number, your Meta account and your billing should all stay in your name.
Before you connect
- Make sure the number is on the WhatsApp Business app, not the ordinary WhatsApp app, and that the app is up to date.
- Stop using broadcast lists, or plan the replacement.
- Write the approved answers and the hand-over rule first.
- Agree who on your team replies when the assistant hands over, and in what time.
- Tell customers, briefly, that an assistant answers routine questions and a person is available.
How Tothiq Assistant does it
Tothiq Assistant connects to your existing WhatsApp Business number, so you keep the number and keep answering from the app on your phone. It replies in whatever language your customer writes in, answers from the questions and price list you approve, and hands over to you on your rules. The Starter package is KD 150 to set up and KD 39 a month, and Meta’s message fees, where they apply, are paid directly to Meta from your own account. Message us on WhatsApp and ask anything about it.
Frequently asked questions
Will my customers notice anything?
They message the same number as before. The difference is that routine questions get an answer straight away, including at night.
Can I still reply from my phone?
Yes. That is the point of coexistence. You read and reply in the WhatsApp Business app as you do now, and the conversation stays in sync.
Can I disconnect the assistant later?
Yes. The number stays yours and keeps working in the app. What you lose is the automation, not the number or the chats on your phone.
Does it work with an ordinary WhatsApp account?
No. Coexistence is for numbers on the WhatsApp Business app. Moving from ordinary WhatsApp to the Business app is free and keeps your chats.
What happens to my broadcast lists?
They are disabled once the number is connected. Offers are then sent as approved template messages to customers who have agreed to receive them.
Does the assistant see my personal chats?
It works on the business number and its one-to-one customer conversations. Keep personal conversations on a personal number, which is good practice with or without an assistant.
